Fall 2022 Meet Volunteer Details (October 20-23)

We are just a few weeks away from our big event and this year we have several visitors that have already notified that they will be attending. To be prepared to handle our visitors and members we are looking for help in several areas to make this year a success. Below you will find what we are looking for help with and a way to sign up.

Check-In Coordinator & Staff - The plan at this point is to use the blue tent as the check-in / registration location. This will be where people sign waivers and given direction on parking and unloading. The idea is to setup the blue tent by the main gate and catch people before they get completely into the property. We may also want to setup the Yellow Train Ride flag to give another visibility for our visitors especially on Saturday when the cross-country meet is going on in the morning.

Unloading / Loading Coordinator / Staff- We will need someone who will be responsible for coordinating the unloading and loading of trailers.

Yard Master Coordinator & Staff - Need someone to help shuttle trains being unloaded / loaded to the yard or siding that trains will be stored on. This will require the use of a locomotive (i.e., club diesel).

Steam Engine Hydrostatic Test Coordinator & Staff - Need someone to be responsible for coordinating the hydrostatic testing of steam engines that don’t have a current test.

Parking Coordinator & Staff - Need someone to coordinate the parking of vehicles and trailers during the event. For those arriving early we may want to place trailers on the west side of the railroad inside the fence area to save space elsewhere for those arriving on Saturday. We may also want to mark areas that people should not park like hazards, drainpipes, etc. Please remember that Saturday morning all vehicles must be parked within the fence because of a cross country event going on until about 1 p.m.

Security & Overnight Camping Coordinator & Staff - Need someone to coordinate overnight camping and security detail of the site.

If anyone has flood lights that are either on a stand or can be clipped to a structure that could be used to provide lighting around the property during the meet would be greatly appreciated as well.
